ESSENTIAL DUTIES AND RESPONSIBILITIES
FRONT DESK CONCIERGE: Greet visitors and direct them to appropriate destination; offering and maintaining a welcoming atmosphere. Maintain visitor and client log; documenting late arrivals and early dismissals accordingly. Answer and direct calls to appropriate personnel; recording and communicating missed calls to the appropriate personnel. Sort incoming and outgoing mail on a daily basis. Log monies received in “Check Log” and provide copies to Accounting and Development/Executive Director-when applicable
OFFICE SUPPORT/CLERICAL DUTIES: Files monthly Medicaid Waiver paper billing for client files. Assists Administrative Program Assistant with logging in membership and fundraising into ACCESS as needed. Assist with completing daily attendance in Therap. Assists with scanning/copying of documents and MEMOS. Assist with bulk mailings up to and including making copies, making labels, preparing/stuffing envelopes and adding postage. Assists with tracking and updating driver licenses and vehicle insurance information into ACCESS; notifying appropriate staff when documents are expired. Prepares and/or sets up conference and meeting rooms for scheduled and staff meetings. Maintains and monitors LARC calendars and schedule meetings as requested by LARC staff.
Assist employees with office supplies requests. Keeps Administrative Program Assistant informed on office supply inventory.
Performs related duties as required.
SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibility.
QUALIFICATION REQUIREMENT: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) required. One-year receptionist/ clerical experience preferred. Demonstrated knowledge and experience using MS Office Suite.
CERTIFICATES, LICENSES, REGISTRATIONS: A valid Florida driver's license is required. Proof of automobile insurance is required if private vehicle is used for LARC business. Able to pass level II background screening.
OTHER SKILLS and ABILITIES: Able to use a multi-line phone system, copy and fax machine. Able to use Microsoft Office products.
