Position Overview

Title: Programs & Special Events Coordinator
Reports to: CEO
Classification: Exempt (Full-Time)
Location: Office-based with time at events and member locations

Position Summary

The Programs & Events Coordinator is responsible for planning, coordinating, and executing Chamber events, including signature annual events such as the Chamber Awards and Installation of Officers, Golf Tournament, and Holiday Party. This role requires a highly organized, self-motivated, and results-oriented professional who can manage multiple tasks, build strong relationships, and deliver high-quality events that support the Chamber’s mission.

Key Responsibilities

Event Planning & Execution:

  • Manage the timeline and deliverables for each event, ensuring all stakeholders are aligned.
  • Plan and coordinate logistics for all Chamber meetings and events (on-site and off-site).
  • Manage event promotion, sponsorships, and logistics to ensure successful execution.

Event Setup and Registration: Lead the setup and oversee on-site registration processes, ensuring efficient check-in and a positive attendee experience

  • Registration Management: Take overall responsibility for event and program registrations, including monitoring web-based registrations, processing registrations from sponsors, staff, and members, and reporting attendance counts to senior staff.
  • On-Site Event Oversight: Oversee venue logistics on event day, including room setup, food and beverage service, audio-visual requirements, and overall event flow.
  • Provide post-event reports on outcomes.

Sponsorship & Revenue Development:

  • Develop sources of non-dues revenue through sponsorships, partnerships, and donations.
  • Solicit sponsorships and auction donations for Chamber events.

Vendor & Partner Relations:

  • Vendor and Deliverable Management:Coordinate and manage all event vendor orders and deliverables for assigned events, including but not limited to venues, audio-visual services, décor, transportation, and signage.

Marketing & Communications:

  • Marketing Strategy Execution: Implement effective marketing strategies to ensure high member engagement and attendance, including targeted email campaigns and social media outreach.
  • Coordinate with the communications team to promote events via social media, email campaigns, and flyers.
  • Capture event photos for promotional use.

Administrative & Committee Support:

  • Serve as a liaison for the Women in Business Committee, Chamber Awards, Golf and other committees as assigned.
  • Produce invitations, thank-you letters, and event-related correspondence.

Continuous Improvement & Strategic Planning:

  • Collaborate with President to align events with organizational goals and community needs.
  • Coordinate to develop and implement an annual events calendar, including signature events, business forums, networking events, and member-exclusive gatherings.
  • Partner with staff members and key stakeholders to identify relevant themes, topics, and speakers that align with the interests of The Chamber’s members and the community.

Qualifications & Skills

  • Bachelor’s degree in a related field or equivalent work experience.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a team environment.
  • Strong problem-solving skills and ability to remain calm under pressure.

Physical Requirements

  • Ability to stand, walk, kneel, and bend for extended periods.
  • Ability to lift and carry up to 30 pounds.
  • Comfortable working on a computer for extended periods.

Compensation & Schedule

  • Salary: Commensurate with experience and qualifications.
  • Schedule: Monday to Friday, with occasional evenings and weekends required for events.
